OBJECTIVE
The objective of this policy is to:
- Ensure that stakeholders receive timely resolutions to their issues.
- Foster a harmonious relationship between students and faculty / staff.
- Offer a platform for stakeholders to articulate their grievances openly, ensuring unbiased resolution.
- Accept grievances and appeals, assess their validity, and recommend corrective actions.
- Establish a fair, impartial, and consistent mechanism for the resolution of diverse complaints submitted by stakeholders.
Scope and Applicability
- This policy aims to establish an efficient, prompt, lawful, and equitable grievance resolution system for stakeholders, which is readily accessible and provided to complainants at no cost.
- These Regulations shall cover any kind of grievance that stakeholders of the PIT may face during their stint in the PIT.
Type of Grievance
These grievances can be in the nature of:
- Academic
- Non-Academic
- Grievance against faculty
- Grievance related to examination
- Grievance related to Attendance
- Grievance related to internship & placements
- Grievance related to amenities & services
- Grievance related to stay at hostel
- Grievance related to stakeholders conflicts
- Harassment by fellow students / faculty / staff
- Harassment of women at workplace
- Harassment of SC/ST students / faculty / staff
How to Raise Grievance
The complainant can raise grievances through the following modes:
- Grievance Form / SMS / Phone Call: Filling the Grievance form / Message / Call to contact number specified on institute website to register the complaint.
- Email: The complainant may raise the grievance on email ID specified on institute website to register the complaint.
- Letter: The stakeholders can write a letter to the authorities or submit grievance in prescribed format available on institute website under grievance redressal portal to the coordinator of grievance committee given as below in person.
- Grievance Box / Suggestion Box / Complaint Box: The stakeholders may drop the writing in prescribed format (can be anonymous if required) in the Grievance / Suggestion / Complaint box.
Mechanism for Redressal of Grievance
- Suggestion / Complaint box is made available in the blocks, which all departments have organized.
- Once / Twice a week at least the letters dropped in these boxes are collected and forwarded to the Grievance Redressal Committee.
- Aggrieved stakeholders shall present his/her grievance verbally or in writing to the concerned HoD.
- Grievance Redressal Committee collects the necessary documentation based on the type of grievance and thoroughly discusses to implement redressing mechanism.
- Grievance Redressal Committee decides the action to be taken for the redressal.
- If the aggrieved is not satisfied with the resolution of the grievance can approach the Ombudsman appointed by the University.
Note:
- The decision of the Ombudsman, in such matters shall be final and there shall be no further appeal in the matter.
- The committee will recommend appropriate action against complainant(s), if complaints made are found to be baseless or trivial.
- Board of Management (BOM) of the Institution may revise the procedure from time to time.
Confidentiality
- Throughout all phases of the Grievance Handling and Resolution Procedure, the PIT will take every possible measure to ensure that the complainant and the aggrieved stakeholders are not subjected to victimization or discrimination.
- The procedure will be implemented impartially, without prejudice to either party.
- At every phase of this procedure, a comprehensive written explanation of the actions undertaken will be furnished upon request by the complainant or aggrieved student.
- In addressing the issue, utmost confidentiality and privacy will be preserved, and all records pertaining to such complaints will be regarded as confidential.
- Records pertaining to grievances addressed through this procedure and their resolutions shall be retained for duration of one year.
- The complainant will incur no expenses for engaging in this grievance and appeal process.
